Del Valle will be a poll option in the poll we're going to have next week. I have a feeling that most people will be focusing on Mt. Hammy and Novato (North Bay).

I wonder if anyone is close to Del Valle where they can assess the site (parking, recreation area, bbq, etc), if you are and you're reading this, can you please go there and take pictures of the site like Roo did for the north bay location?

Del Valle is nice but there might be a problem with parking I use to work there and august is a really crowded time for the park on the weekends and while parking is not a issue on the east shore we might not have a lot of parking near the bbq pits

Pick a place that is big enough for the vendors and if vendors can actually sell stuff, i'll be there... I prefer hammy, but it doesn't bug me too much if it's somewhere else.

Wow, I knew Mt Hamilton would be victorious over Quarry Lakes, but had no idea how bad quarry lakes would be slaughtered!


Looks like I'm going to have to depend on some volunteers for the day of the event as well as the day before the event... Typically, and it seems like people prefer BBQ of pizza and such, we have a huge BBQ with sides and all sorts of snacks from chips to cookies... As the years have gone by I have learned a lot about the bbq and how to do it better. The first year we ran out of food even though I planned for the amount of people that said they were going... then an extra 100 people showed up out of no where, so now I plan for that and whats the worst that can happen? We have too much food? Well, like every year people are more then welcome to take leftovers, from whole pizzas to sodas and waters.

Anyway, the point of me mentioning all that is because all the food and drinks need to be bought somewhere, and that placed is Costco (well, it has been for the last 7 years)... We end up with 500+lbs of meat alone, not to mention 2,000+ drinks, all the snacks for 500+ people, etc... We bring a truck but we fill the truck almost instantly with just drinks alone so I need people to carry stuff, transport stuff in their subies, etc... I also need people to make ice runs so that when we get back to the location in which we're going to store all that stuff there is fresh ice so that we can put all the meat on ice so that it doesn't spoil. I have large containers that we've used in the past that we store the meat in until the day of the meet, but would prefer storing the meat in large coolers instead of the oversized buckets that we've used in the past because by the time of the meet most of the ice is frozen because the containers aren't insulated... We have some coolers but not NEARLY enough to store 500lbs of meat.

To break it all down:

1. I need volunteers to help shop at Costco with me. We normally fill up 3 of those flat bed carts, we don't just fill them, we stack stuff up like 6 feet tall too... I need people to use their subies or any other means of transport they have to move all that stuff from point A (costco) to point B (My place). I'll buy everyone who volunteered Costco pizza, sorry, wish I could offer more but the budget is pretty tight and I end up dipping into my own funds until people pay me at the door, and typically I am $100 or so over at the end of the day which is cutting it pretty close, but I'm not going to have a repeat of 4 years ago where I had to spend a large chunk of my own money for people to have fun... I def learned from that year.


2. I need people on ice detail! This is one of the most important jobs that I assign to people. I need ice for all the meat to sit overnight, but even more importantly, I need ice on the day of the meet! Lots of ice! We're going to need something in the area of 15-20 bags for the first couple hours, then I will need a lucky couple of people to leave the meet and run down the mountain (Quimby road is the fastest way down, much faster then the regular hamilton road) and I need those very kind volunteers to fetch another 10-15 bags of ice! Depending on how hot is is the timeframe and amount of ice will vary, but the ice melts really fast up there so we'll need a second run of ice for sure!

3. I need some REALLY brave souls on BBQ/Cooking detail. You have no idea how important this job is, so I need people to give me their word that they will do the job. In previous years we get people who promise to cook, then at the time of the event they get caught up in the fun of the event and totally bail on us. I'd be one of the cooks if I didn't have a lot of other tasks to do during the event and I'm the one that has to keep an eye on everyone and deal with the cops and rangers... So please, if you volunteer to be a cook, promise that you will keep your word? I need more then just one cook, 4-5 cooks would be ideal that way its not just all on one cook, the work is spread out amongst them. I will def award you something if you take this job because it is the most important task and hard work. I don't know what I can award you guys, but will find something.

4. Parking detail. I need one or two people to direct traffic into the proper parking spots so we can maximize efficiency and fit in the maximum amount of cars. I recommend that radios are used between the two parking guys so they can chat with each other and make sure everything is ok. This is an easy task and will only last the very first part of the meet. One plus side is that you not only get to see every car as they roll in, you get to hear them too!

5. Set up crew. I need a crew of people to help set up canopies, tents, not to mention move the supplies/food/drinks from the parking area to the recreation area. This all takes place before the actual meet starts so if people that already volunteered for something else want to also get there early and help setup then that would be really cool of you too!

6. We need a really good clean up crew to stay late and help clean up stuff like cans and trash as well as take down tents and what not. This obviously takes place at the end of the meet so you wont be missing anything fun. It's sad, no matter how many times we ask people to not litter and to throw away their own trash they still don't do it and the place looks filthy afterwords. A lot of people are polite and throw their own stuff away as well as throwing away other peoples things but there's still that large number of people who just don't care and count on people cleaning their stuff up afterwords... Ahhh, it irks me to no end. It's not like we don't have garbage cans because we do, a lot of them! I have to admit though, it has gotten better over the years but is still nowhere near what we'd want it to be at.


I know there are other help positions available but I just can't think of them all right now. Don't worry, by the time we start the official thread I'll have every spot documented so people can sign up.


Also, every year we have the entire crew of helpers show up at my place, we all load up and caravan all the way to the location of the park, I'm telling you just in case you're bummed that you'll miss a caravan if you decide to help/show up early. Typically we're 15-20 cars which looks great when we're on the freeway unless of course we have some BMW M3 messing with us and throwing CDs out of their windows at our cars! It's fun when a CD shatters on your windshield... My question is why would 2 cars decided to mess with a caravan of 20 cars? It's fun when your friends all react the same way and box their cars in almost instantly...

Also, whoever is handling vendors/sponsors/whatever, I have a company who would like to take part, so whenever you have that part figured out, let me know so I can pass along the information.

Is a temp site being built for this event? That would be easier than cut&pasting the info all over the place.

I doubt it spoolin. They've never made a site for the BAIC annuel event. It allllll takes place within the cave that is i-club. The vendors, sponsors, etc all takes place after the location is 100% locked in, not 90%, not 99.9%. Daniel will probably reply to this and let us know what's up. There's plenty of time for all that since he's taken charge, and got the ball rolling so early this year.
